Full-time, Permanent
Remote role with occasional travel to our offices/sites across the UK
The Role
As a Property Compliance Administrator, you’ll provide operational support to the Bupa Dental function, working closely with our Property Managers to ensure consistent compliance across the dental estate. You’ll help audit, measure and report on Hard FM contracted services, ensuring they are delivered in line with agreed SLAs and KPIs, and take action where service issues arise.
You’ll act as a point of escalation between Property Managers and Hard FM suppliers, helping to mediate issues and drive timely, successful outcomes. You’ll also support the Head of Property and wider Property team by taking part in regular service review meetings with our Hard FM partners.
A key part of the role will be maintaining and uploading compliance data to the C365 portal, providing weekly status updates to the Property Team. You’ll review service reports from planned maintenance activities, evaluate supplier performance, and help maintain a high level of compliance across the portfolio
Responsibilities
- Manage emails from the shared PPM Compliance mailbox.
- Ensure 100% compliance is maintained throughout the month in line with C365 requirements.
- Support Bupa and the Property Teams with contractor mobilisation and ongoing contract activity.
- Lead weekly internal compliance calls to highlight any risks for the month.
- Help maintain an accurate and up‑to‑date compliance system.
- Support the Helpdesk function to ensure smooth operational delivery.
- Review and manage actions arising from compliance tasks, obtain quotations for remedial works and manage these through to completion.
- Review vendor service data, checking that works completed match supplier invoices and approved quotations.
- Calculate accrued credit amounts where full services haven’t been delivered and update the Property Compliance Scheduling Manager.
- Continually review supply chains and share insight on preferred partners based on suitability and colleague feedback.
- Keep the compliance tracker updated on Teams to reflect current site compliance status.
- Chase engineers and suppliers for service data and upload it to C365 daily.
- Ensure correct file naming conventions for all uploaded documents.
- Record reasons for missed services on the compliance tracker and escalate Bupa‑related issues to the Lead Engineer or Property Manager (Hard Services).
- Update the compliance tracker weekly with the latest compliance records and service dates.
Skills/Experience
- IOSH Working Safely (or equivalent).
- Experience delivering compliance in a similarly complex organisation, with a strong understanding of service standards and first‑class customer satisfaction.
- Strong interpersonal and communication skills, with the ability to support senior leaders, operational managers and business stakeholders effectively.
- Confident IT user with solid knowledge of Microsoft Office and the ability to adapt to new business software.
- Good working knowledge of e‑purchasing systems.
- Understanding of administration processes that support and complement property management services.
- Knowledge of performance measurement techniques within Hard FM specialist services.
- Experience of Hard FM services and the effective maintenance of built and installed assets.
- Good working knowledge of compliance standards and legislation within the FM sector.
- Able to work well under pressure and delegate when required.
- Able to influence and negotiate effectively with senior management.
- Confident interacting with cross‑functional teams.
- Excellent written and verbal communication skills.
- Strong relationship‑building skills, with the ability to sustain positive working relationships.
