    Property Projects Administrator 

    Full-time, Permanent 

    Remote role with occasional travel to our offices/sites across the UK

    The Dental Property Operations team is responsible for providing an interface between the provision of property management services by specialist FM service providers and the business needs of Bupa.

    The role of the Administrator is to maintain administrative support on planned projects delivered by the Dental Property Operations Management team.

    The Project Administrator will liaise with the Dental Property, Clinical Services and Portfolio Strategy teams, to support alignment of work schedules and provide regular formal progress reports on projects.

    Responsibilities

    • Support the Property Operations team by raising CAPEX work orders.
    • Coordinate the scheduling of enabling works and clinical equipment installations between business partners, Property and practices.
    • Draw data from Helpdesk systems, project platforms and spreadsheets to compile regular and ad‑hoc reports and presentations for stakeholders.
    • Raise approved project purchase orders, receipting work in line with agreed processes.
    • Liaise with external stakeholders to gather information required for reporting.
    • Attend project meetings, providing updates and presentations as needed.
    • Maintain accurate live project data so stakeholders have clear visibility of project status.

    General Support

    • Assist with the review and management of Dental Property email inboxes.
    • Provide cover in the absence of other Dental Property Administration roles.
    • Support compliance, utilities, sales and mergers, and BAU CAPEX reporting.
    • Engage with the Central Property Administration team to share best practice and identify efficiencies.
    • Support FM contract cost analysis.
    • Carry out first‑line review and compilation of supplier invoice applications to support the Head of Property Operations with cost review, approval and challenge.

    Skills/Experience

    • Strong knowledge of project processes and reporting requirements.
    • Ability to manage and prioritise your own workload effectively.
    • Experience supporting senior leaders, operational managers and business stakeholders.
    • Excellent interpersonal, communication and diplomacy skills.
    • Confident PC user with strong competence in Microsoft Word, Excel, PowerPoint, Outlook, Teams and new business systems as they arise.
    • Good working knowledge of e‑purchasing systems.
    • Understanding of general administration processes that support and complement property management services.
